Volunteer Legal Protection & Organizational Safeguards Policy

Applies To: Volunteers, volunteer applicants, event personnel, and authorized users of the volunteer/event registration system

Purpose

This policy protects The Walker Foundation, its children and families, volunteers, directors, officers, employees, representatives, programs, events, confidential information, intellectual property, technology, and community relationships.

Volunteer Relationship

Unless otherwise established through a separate written agreement, volunteers provide services voluntarily and without expectation of wages, benefits, or employment. Volunteer registration does not authorize a volunteer to bind the organization.

Scope of Authority

Volunteers must perform only assigned responsibilities. Without written authorization, volunteers may not sign agreements, promise payments or benefits, represent themselves as official agents, collect money, make media statements, access restricted areas, or make decisions concerning children outside assigned responsibilities.

Protection of Children

The safety and dignity of children are a priority. Volunteers must comply with child-safety procedures and may not engage in unauthorized private contact with minors, inappropriate physical contact, harassment, exploitation, abuse, neglect, or conduct that places a child at risk.

Confidentiality

Protected information may include children’s and families’ information, registration records, medical or accommodation information, donor information, partner and sponsor information, internal communications, security procedures, financial information, passwords, nonpublic event information, and operational information. Volunteers may not photograph, screenshot, copy, download, retain, disclose, sell, distribute, or use confidential information for unauthorized purposes.

Digital Platform & Cybersecurity Protection

Access to www.thewalkerevents.com is provided only for authorized purposes. Volunteers must not share passwords, access another account, bypass security controls, scrape or extract participant information, upload malicious files, disrupt the platform, or use system information for personal or commercial purposes.

Intellectual Property

The Walker Foundation retains rights in its names, logos, program materials, event concepts, written content, graphics, training materials, photographs, videos, website content, and digital resources. Volunteer participation does not grant ownership or unrestricted license.

Photography, Video & Media

Volunteers may not photograph, record, livestream, interview, or publish identifying information about children or families unless authorized and all required permissions have been obtained.

Non-Solicitation & Misuse of Relationships

Volunteers may not use confidential information, restricted access, or Foundation position to improperly solicit Foundation children, families, volunteers, donors, sponsors, vendors, employees, or partners for outside businesses, organizations, fundraising campaigns, or personal ventures.

Professional Conduct

The Foundation prohibits violence, threats, harassment, unlawful discrimination, bullying, theft, fraud, property damage, unauthorized possession or misuse of confidential information, unsafe conduct, impersonation of leadership, and material disruption of Foundation activities.

Safety & Incident Reporting

Volunteers must comply with reasonable safety instructions and promptly report accidents, injuries, threats, missing children, security incidents, property damage, or significant incidents.

Assumption of Ordinary Volunteer Risks

Volunteers understand participation may involve ordinary risks associated with crowds, walking, standing, equipment, temporary structures, weather, transportation areas, and event conditions. Nothing in this policy releases liability that cannot legally be waived.

Personal Property

Volunteers are responsible for reasonably securing personal belongings. To the extent permitted by law, The Walker Foundation is not responsible for loss, theft, or damage to personal property merely because it was brought to a Foundation activity.

Third-Party & Venue Requirements

Foundation activities may occur at third-party facilities. Volunteers must comply with venue security, credentialing, access, safety, emergency, and operational requirements.

Conflicts of Interest

Volunteers must disclose situations where personal, financial, business, or organizational interests could materially conflict with Foundation responsibilities.

Unauthorized Statements & Representation

Only authorized representatives may issue official statements on behalf of The Walker Foundation. Volunteers may express personal opinions but may not present them as official Foundation positions.

Removal & Revocation of Access

The Foundation may suspend or terminate volunteer participation or system access when reasonably necessary because of safety concerns, policy violations, misconduct, unauthorized disclosure, security violations, failure to follow instructions, misrepresentation, material disruption, or conduct creating substantial risk.

Investigation & Preservation of Records

When a significant incident or suspected violation occurs, the Foundation may document the matter and preserve relevant records. Volunteers are expected to cooperate reasonably with authorized internal reviews.

Compliance With Law

Nothing in this policy prohibits legally protected activity, reporting suspected unlawful conduct, legally required disclosures, or rights that cannot lawfully be waived.

Continuing Responsibilities

Obligations involving confidential information, credentials, protected records, and intellectual property continue after a volunteer assignment ends to the extent permitted by law.

Volunteer Legal Acknowledgment

By registering through www.thewalkerevents.com, accepting an assignment, or electronically accepting this policy, the volunteer acknowledges they have reviewed and agree to comply with this policy.
