Purpose
The Walker Foundation is committed to protecting the privacy, confidentiality, and security of volunteers, children, families, attendees, partners, and community members who participate in our events and programs.
This Privacy & Data Protection Policy explains how information accessed or collected through our volunteer event registration platform is handled and establishes the responsibilities of every authorized volunteer.
Information We May Collect
When volunteers register for or use the platform, The Walker Foundation may collect information including volunteer name, email address, telephone number, username and account information, volunteer role or assignment, event participation and activity, login and system activity, check-in or registration activity associated with the volunteer account, and other information necessary for event operations, safety, administration, and volunteer management.
Attendee & Family Information
Authorized volunteers may have access to information submitted by event attendees, children, parents, guardians, or families for event registration and check-in purposes. This information may include names, contact information, registration information, household or family information, attendance information, and other information necessary to administer an event. Volunteers may access this information only when necessary to perform their assigned duties.
Children's Privacy
The Walker Foundation takes the privacy of children seriously. Volunteers must not photograph, copy, download, screenshot, record, share, post, transmit, or otherwise retain a child's personal or registration information unless specifically authorized by The Walker Foundation. Information concerning minors must be handled with additional care and used only for authorized Foundation activities.
Volunteer Confidentiality
By accessing the volunteer platform, volunteers agree to maintain the confidentiality of all information they encounter. Volunteers may not share attendee or family information with unauthorized individuals, take screenshots or photographs of registration records, download or copy information for personal use, use attendee information for personal business, marketing, solicitation, or recruitment, post private information on social media, share usernames or passwords, access unrelated records, or retain attendee information after completing volunteer duties.
Account Security
Each volunteer is responsible for protecting their username and password. Volunteer accounts are intended for the authorized individual only. Volunteers must immediately report suspected unauthorized access, lost credentials, security incidents, or inappropriate disclosure of information to The Walker Foundation.
How Information Is Used
Information collected through the platform may be used to register and check in event attendees, manage volunteer participation, track attendance, coordinate event operations, maintain records, improve Foundation programs, communicate regarding assignments or events, maintain safety and security, prevent unauthorized access or misuse, and meet applicable administrative, contractual, insurance, or legal requirements.
Information Sharing
The Walker Foundation does not authorize volunteers to sell, trade, distribute, or independently use personal information obtained through the platform. Information may be shared with authorized Foundation personnel, approved service providers, event partners when necessary for legitimate event operations, or government/legal authorities when disclosure is required or permitted by law.
Data Security
The Walker Foundation uses reasonable administrative, organizational, and technical safeguards designed to protect information from unauthorized access, disclosure, alteration, loss, or misuse. However, no electronic system or method of data transmission can be guaranteed to be completely secure.
Data Retention
The Walker Foundation may retain volunteer, attendee, registration, and event information for as long as reasonably necessary for legitimate organizational purposes, recordkeeping, safety, reporting, legal compliance, or other authorized Foundation activities.
No Personal Use of Information
Information obtained through www.thewalkerevents.com remains under the control of The Walker Foundation and may only be used for authorized Foundation purposes. Access to the system does not give a volunteer ownership of, or independent rights to use, attendee or organizational information.
Security & Privacy Violations
Unauthorized access, copying, disclosure, distribution, misuse, or retention of confidential information may result in removal from volunteer assignments, suspension or termination of system access, removal from future activities, internal investigation, notification to affected parties or authorities when required, and additional action available under applicable law.
Volunteer Acknowledgment
By creating an account, signing into the volunteer portal, or accessing event information, the volunteer acknowledges that they have read and agree to follow this Privacy & Data Protection Policy.
Privacy Questions & Requests
Questions regarding this policy, personal information, account security, or privacy concerns should be directed to The Walker Foundation through the volunteer event registration platform.
Policy Updates
The Walker Foundation may revise this Privacy & Data Protection Policy as its programs, technology, legal requirements, or data practices change. The current version should be made available through the volunteer registration platform.

By using The Walker Foundation's volunteer registration system, I agree to protect the privacy of every child, family, attendee, volunteer, and community member whose information I may encounter. I understand that confidential information may only be accessed and used for my authorized volunteer responsibilities.
